There is a simple system you can put in place that will allow your studio to attract and enroll a constant stream of new students on autopilot. We call it the “prospect pipeline.”
I’ve been using this system for almost 15 years now at my own studios and though I’ve tweaked it a little over the years. . . it worked back then, and it works now.
The best part of this system is that most of it can be easily automated using software, and the rest can be done by you in just a couple minutes a day, or handed over to your front desk staff. (Never completely automate everything when trying to attract new students. Make sure you keep a human element.)
What most studios do wrong
Here’s an important piece, so pay close attention. Most studios grossly underestimate the number of times a potential new student needs to be contacted before they’ll enroll as a paying student. They think that a link to a “FREE” class on their website is enough to get people in the door and signed up for classes.
NOPE! Not even close. It takes more than that.
But it doesn’t have to take more of YOUR time. With the right system in place you can accomplish this with less work than you’re probably spending on this already.
“The most important part is to make sure you have the right number of contacts automated in the right order and through the right medium. “
It’s not what you think
We’re not just talking about setting up an email auto-responder here like Aweber or Constant Contact. Those are great programs and awesome services, but they will not work in this scenario. Make sure you’re using the right tools for the right job.
I personally recommend that you use this software to manage your prospect pipeline:
Now, full disclosure, I wrote that software so I might be a little bit biased ¯\_(ツ)_/¯
That being said, the software you use isn’t the most important part. You can use Microsoft Excel and get this to work.
The most important part is to make sure you have the right number of contacts automated in the right order and through the right medium. At my studio it’s a combination of phone calls, emails, text messages, and even stuff through the US mail.
I know, it sounds like a lot of work. It’s not, as long as you keep it organized, know where each person is in the pipeline, and what contact they are scheduled to receive each day. Then each day you go to work, make the few contacts you have on the list and move them on to the next step.
The real secret
The real secret is to not let your work get backed up so that after a couple weeks you eventually end up with 2 hrs of contacts to make. It won’t get done. You can do it all in about 15 minutes a day.
Remember, the work that you automate or outsource (or pay staff to do) first is the work that stays the same from one day to the next. Your prospect pipeline is a perfect example.
If you’d like help learning more about how to set this up at your own studio I’d love to show you exactly how we do it. It’s a great little system that ensures we always have a fresh stream of new students coming in and registering throughout the year . . . even in the Summer.
Just visit this link and tell me some more about your studio.
Make sure that you mention that you’d like to learn more about the prospect pipeline, and also leave a phone number that’s best to reach you at.
Then, you’ll be redirected to my personal calendar. Find a time that works for you and let’s talk.
Alright, good luck and get to work!
